The Ultimate Wedding Photography Preparation Checklist
As a wedding photographer, the wedding day is the D-Day, so bringing your A-game is a must to make sure that everything goes according to plan. Even though there could always be unexpected moments at a wedding, planning could help you remain stress-free as you photograph the other anticipated moments. Therefore, one of the simplest and most organized ways to ensure that you are on top of your game is to have a wedding photography preparation checklist that could help you keep a track of all your ‘to-dos’.
Professional Wedding Photography Preparation and Planning
1. Prepare a Worksheet: Preparing a worksheet helps you and your couple to be on the same page. Usually, a good time to send a worksheet to your couple and the event coordinator is six weeks before the wedding day. This way, you will have some time for discussions, clarifications or modifications.
2. Discuss The First Look: Whether or not they want to go for the first look is an important discussion since you need to plan your timeline accordingly. You could help such clients by providing a list of some pros and cons.
3. Be Aware of Any Religious Traditions: Every culture has its own wedding traditions, so if you are not too familiar with your couple’s culture, it is better to ask and discuss. Discussing these things before the wedding day could help you anticipate them and capture them the right way.
4. Create a Timeline: The next important thing to add to your wedding photography preparation checklist is a wedding day timeline. In a wedding that requires you to be at multiple locations, you will also have to consider the time needed to move around from one location to another while creating your timeline. Navigating through such weddings could get tricky without a pre-planned timeline.
5. Consider Sharing the Load: Another important thing to keep in mind is deciding whether you require a second shooter or not. A second shooter can essentially help to share the load during bigger weddings. Additionally, you could also consider taking an assistant along who can help you with basic day-to-day activities such as managing and carrying your gear.
Morning Prep and Getting Ready Session
Getting things ready for your weddings can be hectic and overwhelming. What I’d recommend is that you get ready somewhere that is filled with natural light and has enough room to fit us all in, without us feeling like we’re on top of one another. During the morning all of my shots will be taken candidly (unposed and natural) until you all have your suits on.
Capturing the Details: At the beginning of the day, I start by capturing the details. The details are the little things that make up your prep, such as your shoes, the watch you will be wearing, or even your bow tie. If possible, please have your details all together in one place. This stops me from having to hunt them down which ultimately gives me more time to photograph the prep.
The "Crap Corner": Men, like women, have lots of crap! To avoid bags, phones, and socks being thrown around the room, have your groomsmen put all of their stuff in one corner of the room - what I refer to as the ‘crap corner’. This way there isn’t going to be anything that you don’t want to appear in your film or photos by accident.
The Handwritten Letter: One of my favourite wedding traditions is exchanging a handwritten letter with your partner. It's heartwarming to receive words of love in writing and it looks awesome in photographs, and even better in video if you're reading it aloud.
Wedding Planning Milestones
Planning a wedding is a monumental task that requires careful organization, attention to detail, and effective communication. The following table outlines the step-by-step process of planning key elements leading up to the celebration.
| Timeframe | Action Item | Details |
|---|---|---|
| 12+ Months Before | Establish a Budget | Determine how much you are willing to spend on the entire event. |
| 12+ Months Before | Select a Venue | Consider factors such as location, capacity, amenities, and ambiance. |
| 12+ Months Before | Choose a Wedding Style | Decide on the overall style and theme (traditional, modern, or rustic). |
| 9-12 Months Before | Book Vendors | Research and book photographer, videographer, caterer, and florist. |
| 9-12 Months Before | Find the Perfect Dress | Consider the style, color, and budget for the wedding gown and groom’s attire. |
It is important to ensure that you have ample time to complete each task without feeling rushed. Having a timeline helps you stay organized and ensures a memorable and seamless celebration.
