When Should Your Wedding Photographer Arrive?
Ideally, your photographer should arrive about an hour before you’re ready to go. This allows them to capture the latter part of your hair and makeup process, which tends to be more flattering. Your photographer can start taking your flat lay and detail pictures and capture the tail-end of getting ready photos. They’ll also have ample time to photograph important details like your gown, shoes, and jewelry. Start with your bridesmaids first, leaving yourself for last, so when your photographer arrives, they can capture those final ‘getting ready’ moments.
Wedding Day Timeline with a First Look
I absolutely LOVE first looks. I think it creates a special moment for the two of you in the middle of your wedding day chaos that might not be there otherwise. I also think that it can make your wedding day timeline more efficient, especially if your ceremony is not until later in the afternoon or evening. Hinebaugh advises couples to prioritize a full 30-minute window to ensure the first look feels intimate and unhurried. This also helps relieve timeline pressure later in the day by completing the bulk of their portraits pre-ceremony and before (most of) the crying.
Sample Wedding Day Timeline for a 4 p.m. Ceremony
With a 4 p.m. ceremony start, hair and makeup will need to begin early. Here is a guideline on wedding timings based on a single location:
- 8:30 a.m.: Hair and Makeup Begins.
- 12:00 p.m.: Photography Begins to capture detail flatlays and getting-ready candids.
- 12:30 p.m.: Hair and Makeup Wraps to provide a buffer time for portraits.
- 2:00 p.m.: First Look and Couple Portraits.
- 2:30 p.m.: Wedding Party and Family Photos.
- 3:30 p.m.: Final Touches and Hideaway.
- 4:00 p.m.: Ceremony Starts.
- 4:30 p.m.: Ceremony Ends; Additional family and bride/groom portraits.

Ceremony Preparation and Timing
Wedding ceremonies can be anywhere from 15-30+ minutes long. It all depends on what the program is and what the officiant is planning to talk about. Ensure your photographer arrives at least 30 minutes before the ceremony starts to capture the venue and guests arriving. Scheduling family pictures in advance of the ceremony maximizes natural light and the time that the couple can spend at their cocktail hour.
Reception Coverage and Order of Events
Plan for 5-6 hours of reception coverage. This typically includes an hour for cocktails and four to five hours for dinner and dancing. Enter back into the festivities with a grand entrance! Plan a grand entrance with your bridal party, and even add in your first dance before you sit down to eat. Traditional order of events often includes:
- First Dance: Typically right after the bride and groom enter the reception.
- Toasts: Start with the maid of honor, followed by the best man.
- Cake Cutting: Usually two hours before the reception ends.
- Farewell: For a sparkler exit, have guests line up 10 minutes before you plan to leave.
